Staged entry
This competition operates a staged entry process. Entries received before the Stage 1 entry closing date of Thursday 23rd February 2017 will be accepted where the competition allows.
Only if after the closing of Stage 1 the competition allows, will Stage 2 open with a closing date of Thursday 23rd March 2017.
Stage 2 entries will only be accepted if the competition allows and priority will remain with the entries received before the Stage 1 entry closing date.
If Stage 2 opens and any entries received are accepted into the competition they will be charged an additional 20% fee.

Entry costs
In order to compete, teams must pay both an entry fee to BUCS/BUSA for the administration and hosting of the event, as well as an entry charter fee and deposit to Sunsail for the boat they will need to charter.
Entry fee per mixed team: £175 (Payable to BUCS/BUSA on BUCScore) [Stage 2 entry: £210]
Entry Charter fee per mixed team: £1,585 (Payable to Sunsail)
Entry Charter deposit per mixed team: £3,000 (Payable to Sunsail)

Entry allowance
Spaces are limited to the number of boats made available by Sunsail; therefore, early entry is recommended. Full terms and conditions of entry are available in the Notice of Race.

Entry process
Entries can only be submitted on BUCScore, our online entry system.
Please speak to your Athletic Union as they will need to submit your entry on this system, and it is their responsibility to manage the whole entry process. Athletic Unions must also return the Sunsail Booking Form [see also Sunsail Booking Terms & Conditions] to Terry Hunt at Sunsail and Nick Burley at BUCS. BUCS/BUSA will then pass on all applications to Sunsail for them to confirm if Skippers/Crew have the required experience to charter a boat. There are only a maximum of 25 spaces, and BUSA will decide the allocation of boats should more than 25 teams enter. All clubs must be members of BUSA Sailing.
Teams must consist of 8 sailors, including 2 females, while racing.
Please make sure that for each entry you sort competitors into the following order: Helm/Tactics-Pit2/Main/Trim1/Trim2/Pit/Mast/Bow.

Teams are suggested to have at least 2 reserves registered on BUCScore, but are encouraged to list as many people as possible – see ‘Reserves’. The final crew list must be confirmed by Friday 31st March 2017 by emailing BUSA.

Please note: An email address is required to enable an individual to be entered effectively within BUCScore as the system uses email addresses as unique identifiers. The email address used for each entrant must be unique to maintain validity of their entry. Changing or duplicating an email address for an entrant may result in the entry being overwritten and therefore withdrawn.

As part of the entry process we will be collecting mobile phone numbers and email addresses to use solely for the purpose of communicating key event information as required. Please note these details will be shared with BUSA, who are running the event on behalf of BUCS, but will only be used for critical event information and will not be passed to any third parties.
Furthermore, after entries have closed no refunds will be given for withdrawals. This applies regardless of the reason for a withdrawal.

Additional information required for the BUCScore entry form
Questions per entry:
[1] Each entered team must have a colour. Please select a different colour from the list for each team entered.
[2] Please give the name of the Team Captain.
[3] Please give the Team Captain’s email address.
[4] Please give a contact number for the Team Captain.
[5] To enter the BUCS Yacht Racing Championships the Sunsail Charter Booking Form must be submitted along with the BUCScore entry form. This form is available on the Yacht Racing Championship event page of the BUCS website. Please confirm here that you are aware that you need to submit this Sunsail Charter Booking form in order to finalise your entry.
[6] I certify that I am authorised to enter the Championships on behalf of all members of the team and the reserves. I understand that changes to this team can only be made in accordance with the Notice of Race. All members of my team and the reserves agree to abide by the Racing Rules of Sailing, the Notice of Race, the Sailing Instructions, the decisions of the race officials and the Organising Authority. I confirm that all team members are aware of the BUSA Code of Conduct (on the BUSA website), which will apply to each competitor. Competitors attend as representatives of their university club and, accordingly, BUSA regards the university club, as well as any individual, responsible for the actions of its members. I accept that the team captain is responsible for the conduct and behaviour of the team. I confirm that I understand that all sailors must complete the Confidential Medical Form in order to be able to compete.

[1] Please provide the individual’s email address. This will be used solely for the purpose of communicating key event information as required. Reserves – BUCS Sailing Universal Reserve List 2016-17
There is a single reserve list for ALL BUCS Sailing events in the 2016-17 Season. This is listed on BUCScore as a separate Sailing ‘Individual Entry Set’: BUCS Sailing Universal Reserve List 2016-17. Sailors will need to be entered onto this by Thursday 23rd March 2017 in order to be eligible for selection for the Yacht Racing Championships.

Institutions are strongly advised to register as many reserves as possible on BUCScore as no further competitors can be added after the deadline for each event and only those students listed on BUCScore and subsequently the master reserve list can compete in any stage of the championships. The existing reserves previously registered for earlier events in the 2016-17 season remain available for all

Confidential Medical Form 2016-17
ALL sailors planning to enter BUCS/BUSA Sailing Championships this year need to complete the Confidential Medical Form 2016-17. This is a requirement for registration at all BUCS/BUSA Sailing Championships. It is recommended that potential competitors should complete this at an early stage by going to the online Confidential Medical Form, found here.

Disability access
